Link employment benefits

You maintain workforce transactions through dedicated accounts and dimensions in Sage Intacct. To create a link between workforce data and the income statement accounts grid, you create the link in the Link benefits tab. After your link accounts to benefits, you can only edit the linked plan line values in workforce.

How Planning matches workforce data to income statement accounts

Each plan line reflects a unique combination of income statement account and dimension values. After you link income statement accounts with benefits, Planning searches the income statement accounts grid for plan lines with the same account and dimension combination as the workforce data, and links them if the data matches.

The following situations can occur:

  • A matching plan line already exists: If a plan line already exists in income statement accounts with the same account and dimension combination, the workforce values are linked to that plan line. You view the values in income statement accounts, but you edit them from the Workforce tab.

  • No matching plan line exists: If workforce data exists for an account and dimension combination, but income statement accounts has no matching plan line, Planning creates a matching plan line. You view the values in income statement accounts, but you edit them from the Workforce tab.

  • A plan line exists, but you don't link it to workforce: If a plan line exists in income statement accounts and you did not link an employment benefit to that account in the Link benefits tab, Planning does not treat that plan line as workforce-driven. The plan line remains as is, and you can edit it in the income statement accounts grid.

Link salary to income statement accounts

Start

  1. Go to Workforce > Link benefits.

  2. Select + Add income statement account.

  3. Select an income statement account from the dropdown list. For example 6100 Salaries.

  4. From Employment benefits, select edit and then select at least one benefit to link to the account.

    The only benefit available is Salary. You will be able to add benefits in a future release.

  5. To link another account, select + Add income statement account.

  6. Select Save.

    You can now view workforce data in the income statement accounts tab, but only edit the workforce values from the workforce tab.

    To unlink accounts, do one of the following:

    • Revert: Returns original values. After you link accounts to workforce, you can't revert if you make changes in the income statement accounts grid.

    • Remove: Retains values generated by workforce, but enables you to edit them from the income statement accounts grid.

View workforce data in the accounts tab

The workforce tab is only visible to owners or users that have access.

Plan lines that contain workforce data are visible to users based upon their permissions to view accounts and dimensions.

Start

  1. Go to Accounts > Income statement accounts.

  2. Navigate to an account that is driven by workforce. For example 6100 Salaries.

  3. Note that workforce plan lines are greyed out and appears next to the account name. This indicates that only owners or users that have permission can edit these plan line values from Workforce > Employees.
